Customer relationship management starts with knowing which person, company and opportunity a conversation belongs to. For your construction company, we would define those relationships before moving customer data or adding automation. The following is a proposed design checklist, not a standard configuration every construction business needs.
Client communication, customer relationships and site context
Identify the customer, the decision-maker and the project location separately. A property owner, general contractor and site contact may have different responsibilities in your sales process. Agree who receives commercial updates, who approves scope and who should be contacted about access to the job site.
Keep useful client communication attached to the right context. A contact involved in one construction project should not automatically become the decision-maker for every project associated with that company.
Custom properties for construction information
HubSpot supports custom properties for business-specific information, with subscription-dependent limits. We first review the available default fields, then propose any additional fields your process needs. Possible examples include project type, construction site reference, estimate identifier and an agreed handoff date.
For each proposed field, specify its purpose, accepted values and responsible person. Avoid placing several unrelated facts in one notes field if the team needs to filter or report on them. Custom objects are a separate design and subscription decision, not a prerequisite we assume.
Deal management through clear sales pipeline stages
Define deal stages through observable conditions. For an illustrative sales pipeline, those conditions could distinguish an inquiry needing an owner, a site visit being arranged, an estimate awaiting a decision and a commercial agreement ready for operations review. Your actual stages should follow your approved sales cycle.
We would test whether sales and estimating teams interpret each stage consistently. A next follow-up date should express an agreed action, not an invented customer commitment. Deal management and project management need distinct meanings even when both teams refer to the same construction project.
