If nobody can explain why a record is a marketing contact, that is a useful audit finding. Before you change its status, establish what the record is for, who owns the decision, and what should happen next.

TLDR: Review audience purpose, current status, pending changes and email subscriptions separately. Then get approval for a defined group of changes and verify the result. A smaller list is not, by itself, evidence of a better process or a lower invoice.

What is the difference between marketing and non-marketing contacts?

In accounts using this model, marketing contacts count toward the paid contact tier. Non-marketing contacts do not. HubSpot applies this model to eligible Marketing Hub Starter, Professional and Enterprise subscriptions; some older accounts may use a different arrangement. For your audit, keep three questions separate: What do you intend to do with this record? What is its current marketing status? What evidence supports the intended communication? A contact owner or a lifecycle label does not answer all three.

Which marketing tools require marketing contacts?

HubSpot requires marketing contacts for marketing emails, contact-segment ad audiences and related marketing actions in workflows. Its documentation distinguishes these from sales one-to-one emails and sequences, which do not depend on marketing status. Tool eligibility still does not establish permission to send. Keep the CRM record separate from the campaign decision. Customers, suppliers and other business contacts may belong in your database without belonging in an audience you actively market to. Decide from the intended communication, subscription evidence and owner review, not from a record's presence in a contact list.

How many marketing contacts do you have?

In Account & Billing > Marketing Contacts, review the current marketing contact count, next update date, configured maximum and tier information. HubSpot also provides tier-pricing details and a usage-over-time view there. Record the values and the date you checked them. HubSpot's billing guide describes this review.

Compare that account-level count with the segment you intend to audit. A campaign list is not the complete billed population. If your team cannot reconcile the two, investigate the difference before approving changes.

Check marketing contact status and billing timing

Promoting a non-marketing contact to marketing takes effect immediately. Before promoting a group, confirm both its intended use and the account's capacity. HubSpot: set contacts as marketing.

A change from marketing to non-marketing is deferred until the account's next update date. The pending-change property lets you distinguish a scheduled change from one that has taken effect. Record the date shown in the account instead of assuming that every subscription updates on the same day. HubSpot: set contacts as non-marketing.

Exceeding the paid contact tier can trigger an automatic upgrade. A later reduction in marketing contacts does not automatically lower that tier during the term; downgrades are handled at renewal. HubSpot also documents a configurable maximum for marketing contacts, which is separate from the paid tier and controls additional marketing-status assignments from imports and automated features when reached. We recommend recording the current count, paid tier, configured maximum, next update date and renewal date in the same review note. Ask the billing owner to check the account-specific terms. Do not describe a planned status change as realized savings.

Review marketing emails and subscription status

HubSpot provides a separate view of a contact's email subscription preferences, including preferences for individual subscription types. Review those values for the communication you actually intend to send. Treat a blank or unclear result as an unresolved review item. HubSpot: learn a contact's marketing email subscription status.

Do not use a marketing-status change to bypass an opt-out. HubSpot documents that email subscription preferences remain associated with the email address even if a contact is deleted and recreated with that address. HubSpot: manage messaging subscriptions.

For a practical review, write down the intended audience, the subscription evidence and the person who can resolve an exception. Ask your responsible adviser when a decision depends on legal interpretation. This audit is not permission to send a campaign or change anyone's preferences.

Use a decision table before a bulk change

The following cases are fictional examples of our recommended review process. They are not client records, automatic rules or a prediction of your bill.

An exception is useful information. If a reviewer cannot justify a decision, preserve that uncertainty in the worksheet. Do not force a yes-or-no answer merely to finish the list.

Run the audit in a controlled sequence

We recommend six checks. Record the expected result before an authorized person changes anything.

  1. Define the audience. Choose one meaningful group, such as records proposed for a campaign. Document the selection rule, review date and business owner. Engagement can inform segmentation, but inactivity alone does not decide a record's future purpose.
  2. Capture the evidence. Review the marketing contact status, pending non-marketing change and source properties. HubSpot documents these fields for reports and segments. Add your decision, owner and verification date in an approved internal record. Review HubSpot's marketing contact properties.
  3. Inspect the creation source. Forms, imports, chatflows and integrations do not share one default. HubSpot forms set contacts as marketing by default; when enabled, that setting can also promote an existing non-marketing contact on submission. Check the specific source, then use an approved test record to verify its behavior. HubSpot's default-status guide explains the differences.
  4. Review automation and access. Record any workflow that sets marketing status, including its purpose, enrollment criteria and owner. HubSpot requires an eligible Professional or Enterprise subscription for its workflow-based status action. Confirm the feature and the operator's marketing-contact permissions before proposing a repair. HubSpot's marketing-status instructions state the requirements.
  5. Approve a defined change set. Identify which records would change, why, who approves them and what must be checked afterward. Preserve the before-state. Do not trigger workflows, bulk updates or email sends merely to test an assumption.
  6. Verify at the right time. Compare the effective status with the approved decision after the applicable update date. Recheck the creation source so the next record follows the intended rule. Keep a closure note with the action, observed result, evidence reference and reviewer/date.

Keep customer data in your approved internal system. Use pseudonymous references in the scorecard, not a copied customer database. An unresolved exception stays open until someone can explain and verify it.

Frequently asked questions

When does a non-marketing change take effect?

Is the configured maximum the same as the paid contact tier?
