What HubSpot Currently Supports for Pipedrive Transfer
HubSpot's Smart Transfer support matrix maps people to contacts and organizations to companies. It also covers deals, products, users, currencies, notes, and specified email, meeting, call, task, and custom activities.
Email activities can sync; logged emails cannot. Activity syncing requires Data Hub. Attachments, participant relationships, deal line items, and labeled organization relationships require a separate one-time transfer and do not remain synchronized. Smart Transfer does not support custom objects.
The Pipedrive configuration also creates deal-date backfill workflows. Inspect their inputs and test the resulting creation and close dates before accepting the transfer.
These are current product boundaries, not a guarantee that every source record will meet your business requirements after transfer. Record identity, field mappings, owners, associations, dates, activity context, and exceptions still need to be tested.
What Must Be Checked in Pipedrive Before the Move
Pipedrive's export documentation distinguishes permitted user exports from the global-admin-only Export data section. Record visibility still limits what can be exported. Activities, notes, and files linked to contacts and deals need separate exports. Google Drive files are excluded from the global export, so inventory those separately.
Before any migration, confirm:
- Which user has permission and visibility to produce a complete source export.
- Which people, organizations, deals, leads, products, activities, notes, files, and projects are in scope.
- Which archived, lost, inactive, deleted, or duplicate records must be retained.
- Which custom fields are still used and which should be retired.
- How owners, teams, pipelines, stages, currencies, product identifiers, and dates are represented.
- Which relationships cannot be reconstructed from a single flat file.
- Which files or historical records need a separate archive even if they do not belong in HubSpot.
The source inventory should be completed before the target mapping. Otherwise, a missing export can be mistaken for a successful omission.
Map Data and Relationships Before You Import
HubSpot's import tool can create and update supported CRM records and associate them using suitable identifiers. Activities have different rules: imported emails, meetings, notes, and tasks can be created, but not updated. Association labels require Professional or Enterprise.
Follow HubSpot's file-format guidance for dates, owners, required properties, and subscription-dependent limits. Blank import cells do not clear values already stored in HubSpot.

One Pipedrive field should not be copied into a vaguely similar HubSpot property simply because the labels look alike. The data type, allowed values, history, automation, reports, and downstream integrations must be considered.

1. Define the target operating model
Document the teams, pipelines, stages, records, relationships, permissions, reports, and integrations HubSpot must support. Decide what should be redesigned instead of copied.
2. Inventory and clean the source
Measure records by type, identify duplicates and inactive owners, inspect custom fields, and document exceptions. Preserve an untouched source export and a source-system backup where the products allow it.
3. Build the target structure
Configure HubSpot properties, pipelines, teams, permissions, associations, products, views, and reporting foundations before loading production data. Avoid activating automation that could send messages or change records during testing.
4. Test a representative sample
Use known records that include difficult cases: multiple companies, several deal participants, missing emails, duplicate candidates, products, activities, notes, different owners, archived records, and custom values. Write the expected result before transferring the sample.
5. Reconcile and correct
Compare source and target counts, required fields, associations, owners, dates, stages, line items, and selected historical records. HubSpot reports import results and errors, but business acceptance requires checks against the source and expected behavior.
6. Plan the transition
Choose the final transfer window, record any freeze or dual-entry rules, train the users, confirm integrations, and define rollback or recovery steps. If Pipedrive will be retired, preserve the approved archive and confirm that the team can complete daily work in HubSpot before access changes.

Treating email as the only identity key
Email is useful, but real data includes missing, shared, old, and duplicate addresses. Companies also require an identity strategy for missing domains, subsidiaries, locations, and similarly named organizations.
Losing associations
A deal without its company, participants, products, or activities may exist in the target but no longer tell the full story. Association checks should be part of the sample and final reconciliation.
Copying old pipeline design unchanged
Migration is an opportunity to preserve necessary history while improving unclear stages, ownership, or required information. Redesign should be intentional and documented, not improvised during import.
Activating automation too early
New or changed records can trigger emails, tasks, owner changes, lifecycle updates, or integrations. Test the target with nonessential automation paused or safely scoped, then activate approved processes in a controlled sequence.
Assuming deletion is rollback
Deleting imported records does not necessarily reverse updates to existing records or undo every connected action. Recovery needs to be designed before production data moves.

No universal transfer claim is accurate. HubSpot Smart Transfer supports named Pipedrive objects and activities, with subscription requirements and separate one-time handling for certain data types.
