A free CRM can replace a spreadsheet without fixing the habits behind it. You still need to know who owns each relationship, what happens next, and which opportunities deserve attention. We would start there before buying more software.
HubSpot free CRM brings contacts, companies, deals, and tasks into a shared system. Its current free offering supports up to two users and 1,000 contacts. That can be a useful starting point for a small team, provided the limits fit the way you actually work.

The free tools cover basic customer records, deal tracking, tasks, forms, live chat, and meeting scheduling. They are a starting system, not unrestricted access to every HubSpot product.

We recommend a practical starting framework: Capture, Assign, Follow up, Review. The objective is not to fill every field. It is to make the next action clear enough that someone follows through.
If different people use different definitions of a qualified lead, start with your revenue operations process. More automation will not resolve that disagreement for you.
Do not assume every free account includes five sales templates. HubSpot documents access to the first three templates for newer accounts, with a five-template legacy allowance for accounts created before September 18, 2024. Additional access depends on the subscription and assigned seat. These are one-to-one sales templates, not bulk marketing-email templates. See HubSpot's template access rules.
Choose a few messages that genuinely repeat, such as an introduction or a meeting follow-up. Review the wording before sending it. A reusable template should save typing without making the conversation feel automated.
It is not accurate to say that all automation requires a paid plan. HubSpot's free form tools allow one simple workflow per form to send an email after submission, with one action in that workflow. More elaborate automation has different requirements. Check the form automation limits before designing a multi-step process.
Write the desired response first: what the person should receive, who should follow up, and what happens if the inquiry needs a different owner. Then check which parts your subscription can perform.
HubSpot provides standard reports through its report library. You can save available reports and add them to dashboards, but customization is not unlimited. HubSpot specifies Professional or Enterprise access for customizing filters on certain library reports. Review the report library documentation rather than assuming every report can be rebuilt in the free edition.
Start by writing the business question you need the report to answer. If the available reports cannot answer it, assess the data and reporting requirements together before choosing an upgrade.
HubSpot's legacy quotes tool is no longer available to new users. Eligible older accounts may retain access, while its current AI-powered CPQ requires Revenue Hub Professional or Enterprise. HubSpot says a Free account created before September 3, 2025 may retain legacy quotes only if at least one quote was created during the six months before that date. Review the legacy quote eligibility rules and any seat-specific restrictions. Confirm your access before promising a quoting process to your sales team.
A paid subscription can be the right choice. It is not the first answer to an unclear process.

For onboarding and training, we recommend testing a representative set of records before a broad import. Have the people who will use the system work through the test themselves. Their questions are useful implementation evidence.
Free CRM is a reasonable place to establish disciplined follow-up and shared definitions. Keep it while it meets your requirements. When it does not, use the documented gap to guide the next purchase.
